We're a well-funded, early-stage startup looking for a hands-on, highly organized Operations Manager to cover a 12-month maternity leave. You'll own office administration and employee experience for the company - the person who keeps the office running day to day and makes sure the team feels taken care of, from the coffee machine to company events.

This is a full-time, on-site role based out of our Tel Aviv office, with some remote support for our New York office.

Your Impact

Office Administration & Facilities

Manage day-to-day office environment and vendor relationships to ensure a seamless employee experience:

  • Day-to-day office management - kitchen, supplies, and maintenance (inventory, restocking, handling requests and shortages), furniture, and equipment troubleshooting. Managing the kitchen/cleaning staff and relationship.
  • Finance & Banking Operations - vendor payments (credit card/bank transfer), invoice & receipt approval, expense classification & reconciliation with bookkeeping, employee expense report approval, contractor payments, bank account operations (transfers, guarantees, permissions etc.), approving payments with leadership.
  • Vendor management and follow-through - end-to-end execution for delivery services, payments, coordination, and invoicing. Company insurance maintenance - policies issuance/renewal + tracking, COIs etc.
  • Ongoing procurement - computer equipment, employee and client gifts, and production/ordering of branded swag and print materials.
  • Travel and event logistics - hotel bookings, travel agency payments, and tracking flight details for insurance reporting.
  • Basic IT support - equipment, password resets, tool permissions, vendor comms and mgmt.
  • New York office support - provisioning equipment, tracking building access, and communicating with the local broker and leadership team.
  • Ad hoc requests - handling unscheduled operational asks and day-to-day troubleshooting from across the company.
  • Meeting scheduling - manage calendars and coordinate meeting scheduling for C-level executives, including QBR prep/maintenance. .

Employee Experience & Culture

  • Employee lifecycle moments - tracking and executing recognition and gifts for birthdays and work anniversaries.
  • People Ops support - Employee Onboarding & Offboarding (systems/tool access, permissions setup and revocation, equipment, coordination across stakeholders, SOC2 compliance etc.), ongoing HR-related support (incl. policy administration, budget management/tracking, and attendance.
  • Ongoing Operations - contributing to wellness and internal communications.
  • Company events and culture - plan and run company events, happy hours and team toasts, logistics, hosting, and purchasing food/supplies for regular events, plus manage swag inventory and coordinate client and employee gifting for company events and culture.
  • Marketing event operation support - vendor management & swag/branded materials for marketing and company events.

What It Takes

Experience:

  • 4+ years in an office management, operations, or executive/team assistant role, ideally at a fast-paced startup.
  • Track record of owning vendor relationships end-to-end and getting things done with minimal oversight.
  • Experience working closely with upper management and comfortable operating in front of C-level executives

Core Skills:

  • People person, first and foremost - friendly, accommodating, and very much service-oriented.
  • Highly organized and detail-oriented, comfortable juggling many small moving pieces at once.
  • Strong vendor management, negotiation, and follow-through skills.
  • Experience planning and executing employee events (happy hours, offsites, milestones).
  • Comfortable with G Suite / standard office tools; experience with HRIS or expense tools is a plus.
  • Fluent in Hebrew and English, spoken and written.

Nice To Have

  • Experience supporting a US-based (or other international) office remotely.

Contract Details:

  • 12-month fixed-term contract, covering maternity leave.
  • Full-time, on-site role based in the Tel Aviv office.
